Citrus County Issues RFP for Agenda and Meeting Management Software

The county seeks to switch from a shared public meeting software to a turnkey solution to streamline its agenda and meeting management process.

Citrus County has issued a request for proposals (RFP) for a new agenda and meeting management software.

According to the RFP, the system must “meet the needs of the Citrus County Board of County Commissioners (BOCC) by providing dependable support and performance for agendas, meetings, minutes and streaming management.”

Currently the BOCC shares its public meeting software with the Citrus County Clerk of the Circuit Court and Comptroller to manage all agendas, media and minutes.

BOCC staff manage agenda and media services, while the clerk’s office is responsible for minutes and overall records retention. Based on this information, the BOCC’s agenda coordinator prepares an agenda packet every two weeks for the county’s five-member commission.

However, the BOCC seeks to streamline this process by implementing a turnkey solution that offers the following:
  • Flexible, customizable agenda layout templates for multiple meeting types 
  • Separate levels of access for individual functions and modules 
  • Flexible, customizable workflows for each department and meeting type 
  • Search capabilities for current and previous agenda items, both published and unpublished 
  • Equal search and filtering functionality between migrated and native files 
  • Strong retention capabilities and the ability to export records for external storage 
To qualify, “respondents must have a minimum of three years of experience providing the proposed solution to county government entities and be able to provide a minimum of three county government references using the proposed solution,” the RFP states.

More information about RFP 25-001 can be found online. All vendor questions must be submitted by 4 p.m. on Dec. 23, and all proposals must be submitted by 2 p.m. on Dec. 31.
