FDLE Seeks Bids for Ephesoft Technical Maintenance Support Services

The contract will require vendors to provide the Florida Department of Law Enforcement with telephone technical support services and Ephesoft Platinum support for agency systems.

The Florida Department of Law Enforcement (FDLE) is seeking competitive sealed bids for Ephesoft technical maintenance support services.

According to an invitation to bid (ITB) from FDLE, “the agency has acquired various Ephesoft Enterprise Platinum Perpetual licenses over time to support its mission.”

A few of these licenses include two licenses for production, two for testing environments and one for development.

Each license allows FDLE to use Ephesoft’s document capture software to accumulate data and automate data collection processes within specific environments.

As for required technical and maintenance support services, the chosen vendor must supply “telephone technical support, Ephesoft Platinum support for systems and any other support services available from Ephesoft for software licenses.”

The ITB also notes that services to be performed and associated costs are based on the following assumptions:
  • FDLE’s hardware environment is clustered and consists of eight cores in development, 16 cores in test and 16 cores in production 
  • FDLE has the right to use four cores in development, 12 cores in test and 12 cores in production 
  • FDLE will not be required to purchase additional cores of licensing unless the agency begins to process at the level of 12 cores 
  • FDLE will only pay maintenance on four cores in development, eight cores in test and eight cores in production until the agency provides further notice to Ephesoft 
  • If FDLE reaches the processing level of 12 cores in test and 12 cores in production, the agency will revisit maintenance costs at the next contract renewal 
The overall contract will be a fixed-rate agreement for three years with an option for three one-year renewals.
