Florida Lottery Issues RFP for Records Management System

The Florida Lottery seeks an integrable records management system to help streamline the process of completing, submitting, reviewing and approving reports by security agents.

The Florida Lottery has issued a request for proposals (RFP) for a Records Management System.

According to the RFP, the contractor must “provide a Records Management System (RMS) that is an integrated solution to streamline the process of completing, submitting, reviewing and approving reports by security agents” via both mobile devices and PCs.

Streamlining this process “will allow for real-time report handling by security agents in the field and support administrative staff and management in printing and distributing these reports,” the RFP states.

Additionally, the system must support installations, training and other implementation services, including all software licensing, system and software upgrades, security patches, maintenance and support, and ongoing development partnerships.

Other system requirements include:
  • Scaling and accommodating future growth, including changes to incident types, input fields, reporting requirements, approval workflow, number of roles and users 
  • Supporting at least 50 concurrent users with role-based access control 
  • Ensuring agency system administrators have separate accounts for administrative duties such as adding, removing and modifying accounts and reviewing system audit logs 
  • Supporting the creation of different event types, including investigations, incidents and intake complaints 
  • Allowing an unlimited number of characters for specified input fields, enabling extensive data entry without restrictions while ensuring optimal performance, security and usability throughout the data entry process 
More information about RFP-016-24/25 can be found online. Vendor proposals are due by 2 p.m. on March 12.
