The department charged with “carrying out a comprehensive all-hazard emergency management program for the state” and assisting municipalities with disasters is seeking services for its 2023 conference with an expected 3,000 in attendance.
The Texas Division of Emergency Management (TDEM) seeks bids for conference setup and audio/visual services from May 30 to June 2 at the Fort Worth Convention Center. The most recent conference attracted more than 3,000 attendees from 16 states and included first responders, emergency managers, elected officials, tribal representatives and those from the private sector.
Request for proposals (RFP) No. TDEM-RFP-3831, due at 2 p.m. Oct. 10, outlines the scope of work and scheduling. Audio/visual setup and support will include “sound systems, screens, projectors and cameras for various rooms and venues,” according to the RFP.
The event will include meeting spaces, a media lounge, a cyber cafe, wireless Internet, workstations and a registration kiosk. These are in addition to requested event setup to include tables, chairs, staffing and other needs.
Specific equipment including mics, a teleprompter, screens, projectors, camera equipment and lighting is listed on Page 6 of the document. Convention center specs are also listed.
