The state has a request for proposals (RFP) with a deadline of Jan. 11 to secure a film locations database and project management services solution.

The Texas Film Commission (TFC), founded in 1971 via an executive order, seeks “to promote the development of the film, television and multimedia industries in Texas by informing members of those industries and the public of the resources available in this state for film, television and multimedia production.”

To date, the TFC has certified more than 150 Texas communities statewide as “Film Friendly” under a dedicated program that connects industry professionals with production-ready local resources for film and other media projects, according to Meetings Today.

The commission seeks a “contractor to securely host web-based database services to allow TFC” and other entities to manage a multitude of visual media, location information, project management details, personnel information and assorted organizational information and resources.”

These items include photographs and video; contact information; and cast and crew information. There will be four databases to manage statewide assets and will “work dynamically together.” They are contracts; locations; projects; and crew, vendors and organizational resources directory.

TFC holds more than 160,000 photographs, adding some 6,900 annually; more than 22,000 contact records, adding some 1,000 annually; more than 14,500 project records, adding some 900 annually; and more than 5,700 directory listings, adding more than 200 annually.

The contract duration is Feb. 1, 2023, to Jan. 31, 2024, followed by potentially three renewals based on the vendor’s quality of work.

The RFP — solicitation number 301-22-01477 — is due at 5 p.m. Jan. 11, and the contact is Jeff Duhon. There are multiple documents and instructions at the solicitation page.

The office of the governor, under which this RFP falls, posts opportunities at the TxSmartBuy website under agency code 301.
