Tarrant County Seeks to Simplify Child Visitation

The Domestic Relations Office would like to implement a cloud-based system that enables scheduling, communication, identity verification and check-in/checkout processes for families, guardians and staff.

The Tarrant County Domestic Relations Office is in need of a cloud-based management system to automate the child check-in and checkout process, among others, for exchange and visitation.

Tarrant County would like to implement a secure, cloud-based system to schedule visits and supervisory staff, check-in and checkout, visit documentation and parent/guardian verification, according to request for proposals (RFP) No. F2025056.

To support child visitation and exchanges, Family Court Services handles about 109 visits, 72 secure exchanges and some 637 family members on the first, third and fifth weekends each month. Sign-in, payments and supervision are managed in a paper-based system — sign-in sheets and paper receipts.

The county seeks a highly qualified vendor with experience with this type of project, whether government or nongovernmental. The project will require about 10 employee licenses and potentially 1,400 licenses for parents/guardians.

The scope of work includes:
  • A user-friendly interface for check-in and checkout
  • Secure communication among staff and participants
  • Features such as photo verification, e-signature and incident reporting
  • Scheduling module and automated reminders
  • Reporting and administrative tools

  • A request for information regarding body-worn cameras for the Sheriff’s Office. The close date is 2 p.m. Dec. 19.
  • An RFP for wayfinding kiosks and maintenance, due at 2 p.m. Dec. 23.
  • An invitation to bid for at least 28 two-in-one notebooks and care packs, due at 2 p.m. Dec. 30.
  • An RFP for advisory services to analyze and advise on the county’s enterprise resource planning system and potential changes. The due date is 2 p.m. Jan. 6.
