Time Saved With Document Process Automation

Refining the California COVID Reporting System (CCRS)

Capture567.PNG
CDPH is the largest agency in California, responsible for the public health and safety of 39M Californians. After a year of a single vendor managing the COVID reporting database, CDPH decided it needed to replace both the solution itself and the vendor hosting COVID data reports. Using traditional methods this procurement would have taken 18 months. Using City Innovate's platform for Document Process Automation (DPA) it took only 5 months.

EDD SHARED CLIENT PORTAL

The California Dept. of Technology (CDT) is tasked with managing this $5M fund as part of a total effort to streamline the technology acquisition process. CDT receives and reviews multiple submissions from CA departments asking for funding for their modernization initiatives. Traditional Time: 6 months With DPA: 2 weeks

MIDDLE MILE BROADBAND INITIATIVE (MMBI)
MANAGING END-TO-END TRANSACTION FLOW
MMBI is tasked with building out broadband throughout California. With $4B in funding, MMBI decided to use City Innovate's platform for Document Process Automation to manage the flow of transactions. Previously, all transactions were handled using a combination of Microsoft Word and Excel ... manual processes that were wholly inefficient.

Traditional Time: 2 months With DPA: 3 weeks

CALRECYCLE
DEVELOPING A PRE-QUALIFIED BIDDER POOL
CalRecycle needed to acquire services for debris hauling and tree cutting after wildfire event. Traditionally, the vendor outreach process was handled manually which led to duplication of effort and other ineffiencies.

Traditional Time: 3 months With DPA: 2 weeks

ODI: DATA AND INNOVATION FUND
MANAGING APPLICATIONS FOR FUNDING
The Office of Data and Innovation uses data, human-centered design and technology to create services that are easier for everyone to use. Part of its work involves receiving, approving, and providing funding to department requests for innovation. Initially, ODI was going to use an entirely manual process to handle these funding requests. Instead, they automated the entire process using Document Process Automation to solicit departments to participate in the program and process the requests.
