The Houston-Galveston Area Council (H-GAC) has released a request for proposals (RFP) for a cloud-based board agenda management solution.

The requested solution must handle meeting scheduling, agendas and minutes generation for a minimum of 70 users.

Agendas must be customizable with automated reminders and recurring meeting options. Real-time note-taking and the ability to annotate and collaborate on notes have also been requested.

The solution must feature role-based access that allows for audit trails and customizable permissions. A task manager and user management system are necessary for the facilitation of user data, progress updates and role assignments.

H-GAC requests a dedicated mobile app for both iOS and Android rather than a web version accessible by mobile device. The app should allow users to personalize their dashboard and include accessibility features.

The chosen vendor is expected to integrate the solution with H-GAC’s customer relationship management and enterprise resource planning systems. Virtual training for all administrators and managers is also required.

More detailed information about RFP-COMM-PA-BAMS-04-25, including all minimum requirements and requested services, can be found online. The deadline for questions is 12 p.m. May 2. Proposals are due by 12 p.m. May 29. Allison Cruz is the point of contact for this RFP.
