Texas State Technical College Seeks Event Management Platform

Texas State Technical College is soliciting proposals for a cloud-based event management software platform that will serve as a centralized system for scheduling, logistics and reporting across its statewide network of campuses.

The college’s goal is to streamline the way departments request event space, manage resources and analyze performance metrics, replacing manual processes with a unified tool that supports scalability and data-driven planning.

The software-as-a-service solution must support a wide range of event types and include capabilities for room reservations, inventory tracking, attendee management, survey feedback and post-event reporting. The selected vendor will be expected to provide a system that enables staff to search for and reserve rooms based on criteria such as campus, capacity and amenities. End users will be able to request services and receive automated confirmation notices, while event coordinators will have access to more detailed scheduling information, approval workflows and logistics tools.

The system must integrate with several existing platforms, including Google Workspace, Microsoft Outlook, Workday, Canvas, Element451 and Symplicity. It must also connect with FMX and TeamDynamix for facilities and IT ticketing, and support online payments for ticketed events. Inventory management tools must provide real-time tracking of resources and include support for bar-code or RFID-based check-in/checkout.

In addition to booking and logistics, the software must provide reporting features such as attendance tracking, revenue and expense analysis, and post-event survey summaries. Users should be able to send customizable satisfaction surveys, analyze sentiment and response trends, and view data dashboards that support performance evaluation and future planning.

Vendors must also meet security requirements that include HTTPS encryption, role-based access control, audit logging and single sign-on integration using SAML or OIDC protocols. Solutions that handle sensitive or regulated data must hold current TX-RAMP certification or indicate when certification is expected.
