The Texas Department of Transportation (TxDOT) has issued a request for offers (RFO) from vendors capable of replacing its event management software solution.

The agency’s legacy system is a single-sourced integrated solution, which it uses to streamline travel registration, event capacity management, data security, attendance data management and hotel room sourcing.

TxDOT requires a secure, web-based software solution that provides comprehensive registration services for both online and on-arrival attendees.

Online registration capabilities include:
  • Custom registration questions
  • Different payment options for attendee groups
  • Integration with a merchant account
  • Customizable registration process
  • Reminder notification system
  • Email marketing tools for event promotion
Possible on-arrival service requests include:
  • Badge printing
  • Self-service check-in kiosks
  • Event check-in facilitation
  • Information editing at check-in
  • QR codes for check-in efficiency
The successful vendor must provide training, maintenance, troubleshooting and data management services.

TxDOT requires a detailed explanation of all artificial intelligence functionalities to be included or introduced at any point during the accepted contract period.
