Commission Seeking Digital Imaging for Public Records Requests

The state’s environmental agency is seeking a records processing contractor who will image documents requested as public information.

The Texas Commission on Environmental Quality (TCEQ) published a request for offers (RFO) for document conversion with a due date of Aug. 25.

TCEQ complies with federal and state laws regarding document retention and how documents are publicly made available. Some of these include permits, licenses and certifications.

The vendor will image the “most requested record series” in public information requests that fall under the Texas Public Information Act. These are published via the agency’s Oracle WebCenter Content system, which is described in the detailed RFO No. 582-24-43884. Metadata requirements and various storage and naming conventions are also outlined there.

The volume includes the following estimates:

  • 19.2 million microfilm rolls
  • 7.6 million microfische envelopes
  • 15.6 million paper records
  • 816,073 electronic records

The documents require imaging, reviewing, redacting and publishing to the enterprise content system. The work is separate from the agency’s central fire room work.
