Information for Document Conversion Requested by Commission

The agency regulating pollutants is seeking action for a multitude of records.

Although there will be no award for this request for information (RFI), the agency is looking to plan and gather details for when the time is right for a solicitation.

The Texas Commission on Environmental Quality (TCEQ) is the state agency whose mission is “protecting Texas by reducing and preventing pollution.”

The agency seeks information about procedures and costs for document imaging, document review, redaction and publishing to the agency’s enterprise content management application over a three-year period.

This project is projected to include:
  • 3,198 microfilm rolls of varying lengths.
  • 115,330 sheets of microfiche.
  • 52,015 boxes of paper records.
  • 42,333,115 estimated electronic pages for review and redaction.

Vendors should specify:
  • Cost of services.
  • Necessary equipment.
  • Chain of custody, imaging and quality control.

“TCEQ is seeking information on costs to perform this work both at TCEQ’s campus at 12100 Park 35 Circle, Austin, Texas 78753, using TCEQ’s equipment, and offsite using the vendor’s equipment,” according to the scope of work.

Full details and a rubric can be found at Texas SmartBuy, where the agency’s member number is 582. The agency’s Contracting with the TCEQ web page outlines how vendors can work with them.

Questions are due by 2 p.m. Aug. 1; bids are due at 2 p.m. Aug. 15.
